POSITION: Gifts Processor and Alumni Records CoordinatorREPORTS TO: Director of Advancement ServicesSTATUS: Full-Time, Non-ExemptRANGE: $55,000 - $65,000Founded in 1901, Brooklyn Law School is a distinguished, independent law school located in Downtown Brooklyn, New York. The Law School is searching for a Gifts Processor and Alumni Records Coordinator to join our team. The Law School's size, vibrant employee and student population, and commitment to training the next generation of lawyers and promoting social justice, will offer a candidate the opportunity to develop and diversify practical skills and participate firsthand in operating a successful educational institution.Reporting to the Director of Advancement Services, the Gifts Processor and Alumni Records Coordinator supports fundraising, donor stewardship, and alumni engagement by ensuring timely and accurate gift processing and alumni data management using the Law School's Salesforce-based CRM system. The ideal candidate will bring strong critical thinking skills, attention to data accuracy, and a willingness to generate simple reports and insights to support Advancement operations. Responsibilities include:Responsible for processing all gifts to Brooklyn Law school and ensuring that all gifts, matching gifts, pledges and planned giving commitments are correctly documented in a timely manner. Accurately process all philanthropic gifts, pledges, recurring donations, matching gifts, and planned giving commitments using Salesforce (NPSP) in a timely manner. Generate and issue timely and accurate tax acknowledgment letters and IRS-compliant receipts for all gifts.Prompt updating of records within the CRM as a result of monitoring the Advancement Services inbox, staff notifications or direct notifications from constituents. Exercise critical thinking and independent judgment when resolving data inconsistencies, donor inquiries, or discrepancies between gift documentation and CRM records.Collaborate with Advancement and Finance teams to ensure gift records are reconciled, coded correctly, and compliant with internal gift documentation policies.Create and run basic reports in Salesforce to support internal stakeholders, such as summaries of recent gifts, donor history, or alumni record updates.Develop and maintain internal documentation on gift entry protocols, donor acknowledgement workflows, and data entry procedures within Salesforce.Serve as a Salesforce data quality champion by ensuring data accuracy, identifying and resolving discrepancies, and participating in data cleanup projects.Support gift entry imports and batch uploads using Salesforce data tools or third-party import appsAssist with prospect research and pipeline support activities as directed by the Director of Advancement Services.Maintain donor confidentiality and uphold high ethical standards in handling sensitive information.Provide on-site support at occasional Advancement or alumni engagement events, including assisting with donation collection, fee processing, and ensuring accurate data capture related to event contributions; some events may occur during evenings or weekends.This position may require occasional evening or weekend hours in support of Advancement events including assisting with donation collection and fee processing. The employee is also expected to provide coverage during institutional breaks, including winter break, to ensure uninterrupted processing of donations and maintenance of alumni records.Required:Bachelor's degree and 3+ years of administrative experience, preferably for a non-profit organization. Demonstrated experience using a Salesforce CRM for gift processing, donor data entry, and alumni records management, with a focus on data accuracy and integrity.Proficiency with Microsoft Office Suite (Word, Excel, Outlook); strong Excel skills for basic reporting and data formatting.Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.Demonstrated ability to exercise critical thinking and problem-solving skills when evaluating data accuracy or resolving processing issues.High degree of accuracy and attention to detail.Ability to work both independently and collaborative within a team environmentAbility to maintain confidential information and exercise a high level of discretion.Preferred:Proficiency with Salesforce Nonprofit Success Pack (NPSP)Familiarity with a wide range of charitable gift types, including recurring gifts, pledges, matching gifts, and planned giving vehicles.Experience generating and interpreting basic CRM reports, such as giving summaries, donor history, or data audits.Understanding of donor stewardship processes, including tax acknowledgments and customized thank-you workflows.Strong written and verbal communication skills, with the ability to document procedures and communicate data issues clearly.Proven ability to proactively identify data inconsistencies, troubleshoot system challenges, and recommend process improvements.Remote capabilitiesThis position is not eligible for a hybrid/remote schedule, as duties must be performed on-site.Physical demandsProlonged periods sitting at a desk and working on a computerMust be able to lift up to 15 pounds at times.Brooklyn law school has an excellent benefits package that includes sick, personal and vacation paid time off, a generous retirement plan, dependent tuition scholarship Pre K- undergraduate college and additional summer Friday PTO.It is the policy of Brooklyn Law School to be impartial in the treatment of all employees and applicants for employment without unlawful discrimination as to race, creed, religion, color, natural origin, citizenship status, gender, age, veteran status, disability, marital status, union affiliation, political affiliation, sexual orientation or preferences or any other legal protected status.Compensation details: 55000-65000 Yearly SalaryPI7dc5749a4553-25660-37651349
